In response to a post to a chat group by Janet Fletcher I ask the board these questions that I have asked of her. I also wish this letter to be posted to the web site and in the next ARK news letter.

As written to Janet:
Also members elect directors and officers to give them a voice, not just on one subject, but on any concerns that they may have. That is all members not just a select clique that seam to want to hold all power in the ARC. Funny thing, I seen in the motions that were published that the motion to review the Katrina funs are all of a sudden being sent to the review committee, what happened to the motion that the vice president made and was going out for a vote befor Karen and myself resigned, to have Marilyn Piuzs review the record?. Remember when I want an independent firm to review them, my motion was threatened to be tabled or amended, When I made almost the same motion it was explained over and over that would be a burden to the review committee to do, also it would be a waist of money to have an independent firm do it. So now that has all changed, and it is being sent to the review committee, why should the members trust this review? It was not good enough at one time when some members wanted it done, but now it is all fine and dandy????? sure makes me ponder as to why it is fine to do now????? What has changed? You were sent the Katrina files were you not, What did you find? What happened to the vice presidents motion? I did not see a motion to resin or table it? Jumping through you butts to make it appear you are doing the right thing now is just that jumping through your butts, it dose not correct the wrong that has been done to Lynn Lopez, or the members with all this deceit....

I also hear that Marilyn is doing the taxes again with the CPA, how can the ARC taxes be done over again, and with out the books? Seeing how there is a motion to hire and attorney to recover the books? What was wrong with the taxes that were done during the review back in Aug, 2008 I as a member in good standing would like you to answer this, as a member that voted for you and would like you to explain to me how you are voicing my rights as a member?

Lester, Thank you for contacting the ARC Board,

In reference to your question on the recently approve review of the Katrina Funds I would like to refer you to the motion that was placed into the discussion phase on October 11, 2008 three days prior to your voluntary resignation on October 14, 2008.

10/11/08 - Motion: To avoid additional cost to the ARC for more expenses related to financial reviews, by three weeks (calendar days) after the ARC BOD receives the club's records from Lynn Lopez, Interim Treasurer Marilyn Piusz shall be authorized to, and shall conduct and complete, a review of all available ARC accounts and records so as to provide the Board a full report on all ARC assets and debt, if any. All findings shall be used where needed to complete tax returns and to reconcile, if need be, any and all ARC funds and accounts. These tasks to be completed, if possible, by three weeks after the records are in the possession of the ARC BOD. MOTION: Jeff Shaver SECOND: Deborah Shibley

Based on the current standing rules that the Board must abide by, the actual discussions on this motion are not available for full disclosure.

Even though the club’s records have yet to be received, a preliminary review of the ARC accounts was conducted by the current ARC Treasurer and reported to the Board within the time limits given.

The motion indicates that a review would be conducted by the ARC Treasurer on all accounts. The particular fund that you are questioning was to be a part of that review due in part to ensure that no adjustments would be needed to the financial bottom line or as an adjustment in financial reporting.

The Treasurer was able to do a complete audit of this account as copies of all statements, checks and receipts were forwarded to her from the Disaster Committee. With the audit almost complete, a second motion dated October 22, 2008 to send the review to the ARC Finance Committee for a final review was discussed, voted upon by the ARC Board and was unanimously passed.

10/22/08- Motion to have the ARC Finance Committee review the ARC Treasurer's audit of the ARC Disaster (Katrina) accounts. Copies of all bank statements, checks, and receipts, as well as Treasurer's report will be sent to them.

The Finance Committee credentials are second to none, with over seventy five years combined experience in finance, accounting and tax analysis. With a Finance Committee the reduction in cost for services is recognized as managing membership monies in a responsible manner.

The Treasurer’s Disaster (Katrina) audit has been completed and her report is posted on the web and will be published in the ARK. All the records have been forwarded to the Finance Committee per the motion above. Once the final review is completed by the Finance Committee their report will also be made available to the membership through the ARC web site and published in the ARK.

These type of reviews had they been contracted out would have cost the club thousands of dollars. By utilizing the resources of ethics bound professionals within the ARC the members of this club can be confident that the reviews will be thorough and with minimal cost from the general fund.

It is the responsibility of the ARC Board to up hold fiduciary standards and complete reporting back to the membership even through extraordinary measures of gathering data.
